Recording Activity on Leads
Next to all leads there will be a phone icon, an envelope icon, and an ellipsis (⋮). To record that a follow-up has been attempted the user will need to select either the phone or envelope icons.Phone
When the user clicks on the phone icon 4 options will show up- No Answer: the lead did not answer the phone call. Choosing this option will set the lead to show up in the “Follow up” folder as it is no longer considered a new lead. The system is set up to put the lead into the bottom section 4 hours after the initial call, then 24 hours after the second attempt. If unable to contact the lead in 3 attempts the system will automatically mark the lead as “dead”, meaning it was not reachable.
- Left Message: the office left a voicemail for the lead. Choosing this option will set the lead to show up in the “Follow Up” section in 4 hours and follow the same set of attempts with no answer outlined above.
- Set Follow Up & Change Status: In order to set a follow up time to contact the lead or change the lead state, choose the hyperlink lead ID. This page will have those same buttons that will allow you to perform both actions and include note fields.
